Privacy Policy

Last updated: 31 October 2026

This policy explains how Symphony Connect Pty Limited (ABN 44 680 444 599), trading as Symphony Connect, handles personal information when you visit our website, contact us or request and participate in an initial assessment. Separate service-specific policies or customer agreements may apply when you use an integration or engage our services.

1. Information we collect

We collect information you provide through our enquiry form, email, telephone and discussions. This may include your name, email address, organisation, enquiry and correspondence. For an assessment request, we also invite you to suggest dates and times and provide your location so we can arrange the meeting. Meeting records may include the agreed time, participants, invitation and any changes or cancellations.

Our website and technology providers may also process technical information such as IP addresses, browser and device information, pages visited, usage information and access or security logs.

Please keep initial enquiries high-level. Do not submit passwords, sensitive personal information, health information or identifiable confidential client records. An anonymised example is usually sufficient. If sensitive material is needed, contact us first so appropriate handling and confidentiality arrangements can be agreed.

2. How we use information

We use information to respond to enquiries, understand your requirements, assess how we may help, arrange and manage assessments, follow up, maintain relevant business records, understand website use and protect our systems against misuse. We may also use or disclose information where required or permitted by law.

We send an automated email acknowledging form submissions. An assessment request does not book an appointment: we review your preferred dates and send a calendar invitation confirming the assessment, including a Microsoft Teams link. Submitting an enquiry does not automatically subscribe you to a newsletter or unrelated marketing list.

You may contact us anonymously or use a pseudonym where practicable. Our website form requires a name, usable email address, enquiry type and message so we can respond. Without the necessary details, we may be unable to respond or arrange an assessment.

3. Cookies and website analytics

Our website uses cookies and similar technologies for website functionality and analytics. Google Analytics helps us understand how visitors use the website and can process technical and usage information, including cookie identifiers and interactions with pages.

You can manage, block or delete cookies through your browser settings. Blocking cookies may affect parts of the website. Browser cookie controls are not a guarantee that all technical information or analytics requests will be blocked. For more information about Google’s handling of information, see Google’s Privacy Policy.

4. Who may receive information

Information may be accessed by Symphony personnel who need it to manage your enquiry, assessment or related business administration, and by professional advisers or service providers where necessary for those purposes.

Our enquiry flow uses WordPress and Avada on our hosted website, SMTP2GO for notification and acknowledgement delivery, and Microsoft 365, including Outlook and Teams, for correspondence and meetings. Notifications are delivered to our enquiry mailboxes and may be forwarded to the team member handling your request. SMTP2GO processes message contents and addressing information to deliver emails. Our hosting, analytics and other technology providers process information in providing their services under their applicable terms and privacy arrangements.

We may also disclose information when required by law or where otherwise lawfully necessary to protect rights, safety or security.

5. Storage, security and overseas processing

Personal information is held in our business email and related systems and may be processed in our providers’ systems, logs and backups. We use reasonable safeguards appropriate to the information we control, including restricting access to people who need it. No internet transmission or storage system can be guaranteed completely secure.

Our providers operate internationally and information may be stored, processed or accessed outside Australia. Locations depend on the service, subscription, infrastructure and support arrangements. We do not represent that all website, email, analytics or meeting information remains in Australia. You can contact us about the handling arrangements relevant to your enquiry before providing sensitive material.

6. Confidentiality, recording and AI tools

We treat non-public business information shared for an enquiry or assessment as confidential and use it to understand your needs and follow up. If sensitive material is needed, appropriate confidentiality arrangements can be agreed first. An enquiry or assessment request does not itself create a signed non-disclosure agreement or enter you into our customer agreement.

Before recording, transcribing or using an AI meeting assistant in an assessment, we will explain the proposed tool, purpose and handling and ask for your agreement. You may choose to proceed without those tools. Requesting or attending a meeting is not blanket consent to recording or AI processing. Any later service or integration may have additional information-handling terms.

7. Retention and deletion

Enquiry correspondence is currently retained without a fixed deletion date for follow-up, business-relationship and recordkeeping purposes. We have not configured a routine automatic deletion schedule for enquiry correspondence. Retention remains subject to applicable law and the continued need for the information; this is not a commitment to retain every record forever.

You may ask us to delete information. We will consider your request and explain any information we need to retain for legal or other legitimate purposes. Deletion from active systems may not immediately remove information from routine backups.

Providers apply their own retention arrangements, separate from our business correspondence. SMTP2GO states that it retains email headers for 35 days and samples one in 1,000 email message bodies for 35 days, subject to its terms and exceptions. Other provider logs and backups have their own retention periods. See SMTP2GO’s Privacy Policy for details.

8. Access, correction and privacy concerns

You can contact us to request access to or correction of personal information we hold about you, ask about deletion or raise a privacy concern. Please describe the information or issue and how we can respond. We may need to verify your identity. If we cannot meet a request, we will explain why, subject to applicable law.

We will investigate privacy complaints and respond within a reasonable period. If you remain dissatisfied, you can contact the Office of the Australian Information Commissioner, which can advise whether it can assist.
