BUSINESS CONTEXT · AI CHOICE · COST

The AI model is a tool. Your business context is the asset.

SymphonyQ is a consulting-led AI operating model that helps your organisation maintain and reuse business knowledge, instructions and methods across people and workflows. Built on Notion, configured and implemented by Symphony Connect, it brings shared business context, supported AI services and agreed connections into your team’s way of working.

01 / BUSINESS CONTEXT

Retain and build on your context.

Keep approved knowledge, decisions, business rules and working instructions explicit, inspectable and maintained by your organisation—not only in individual conversations.

02 / AI CHOICE

Choose from a range of leading AI models.

Match the model to the work while keeping your business context and working methods together. As capabilities evolve, your team can assess new options without starting again with its knowledge.

03 / COST CONSOLIDATION

Reduce duplication. Review total cost.

Identify overlapping AI subscriptions and add-ons. Compare the capabilities your people need and the total cost before deciding what to keep or replace.

Put shared methods to work with relevant connections, agreed access and human review. Support knowledge continuity and adoption without unnecessary administration.

ILLUSTRATIVE BUSINESS APPLICATIONS

Different needs. The same shared foundation.

Start with the business need—not a new tool to find a use for.

ILLUSTRATIVE APPLICATION

Build on specialist expertise.

Use previous reports, approved technical evidence and working methods to support research and drafting, with source checks and professional sign-off retained.

What to evaluate
Knowledge reuse, quality and preparation effort.

ILLUSTRATIVE APPLICATION

Coordinate a growing organisation.

Use agreed policies, commitments and decisions to support team coordination. Define what can be shared, what stays private and who approves actions.

What to evaluate
Follow-through, handovers and user friction.

ILLUSTRATIVE APPLICATION

Carry sales knowledge forward.

Bring customer context, discovery methods and approved proposal evidence into pursuit preparation, deal reviews and human coaching.

What to evaluate
Preparation quality, consistency and reuse.

ILLUSTRATIVE APPLICATION

Explore continuity across creative and delivery work.

Keep the brief, estimate, project decisions and relevant design references available to the people and supported tools doing the work. Confirm connection options during discovery.

What to evaluate
Context continuity, permissions and connection reliability.

ILLUSTRATIVE APPLICATION

Make recurring reporting more useful.

Bring agreed records into a repeatable management view, with consistent definitions, source checks and clear exceptions.

What to evaluate
Preparation effort, source quality and decision usefulness.

ILLUSTRATIVE APPLICATION

Consolidate AI add-ons.

Assess where shared AI capability could replace duplicate subscriptions and plugins without losing functions your people need.

What to evaluate
Capability fit, adoption and total operating cost.

These are illustrative applications, not claims of completed client outcomes. Information sources, connections, permissions and human review are agreed for each engagement. The creative and cross-tool example remains exploratory.

PRACTICAL DELIVERY. WIDER AMBITION.

Start small. Prove value. Then expand.

A phased implementation, with a decision before each expansion. A practical starting point is the way into a wider business capability.

Choose one starting point.

03

Deliver

Test with a small group.

04

Scale

Expand on evidence.

Free assessment → standalone paid discovery → separately scoped implementation.

Discovery stands on its own. You decide on implementation after its scope and price are clear.

ILLUSTRATIVE WORKFLOW

From customer request to approved proposal.

Bring customer context, approved evidence and commercial judgement into one repeatable workflow.

01

Capture requirements

Record the request, objectives and constraints.

02

Reuse what works. Feed approved improvements back into your shared knowledge and methods.

THE PEOPLE BEHIND THE APPROACH

Implemented with you. Not handed over to you.

Symphony Connect is the Australian consulting and implementation team behind SymphonyQ. We bring workflow design, data integration and adoption support together, rather than leaving your team to assemble another software subscription on its own.

We help establish shared context, reusable methods and proportionate controls, then put them to work with your people.

CONFIDENTIALITY · ACCESS · ACCOUNTABILITY

Your business knowledge. Clear boundaries.

Useful AI starts with trust in how your information is handled. We agree what each workflow can use, who can access it and where a person reviews the work before it is acted on.

Protect what matters.

Identify confidential information and specialist IP, and decide what belongs in the shared workspace and what should stay in its existing system.

Give access deliberately.

Configure agreed sources and permissions around the people and work involved.

Keep people accountable.

Build review and approval into consequential work, including professional judgements and external actions.

PRACTICAL QUESTIONS

A few things worth knowing.

It is an implemented operating model for shared AI capability: business context, reusable methods, supported tools, working rules and adoption. Subscriptions and AI services may be part of the solution, but buying access alone is not the engagement.

We start by understanding what already works. Existing tools may remain where their capabilities, permissions and connection options suit the workflow. Supported choices are confirmed during discovery; not every tool is interchangeable.

No. SymphonyQ currently uses Notion as its shared workspace. Discovery assesses its fit with your people and systems, what belongs there and what should remain elsewhere.

No. We identify the context and instructions the selected work needs, then agree how to maintain them. Capture and integration options depend on available systems and permissions; not everything can be captured automatically.

If there is a fit, we propose a paid, defined discovery engagement. You decide on that step before committing to implementation, which is scoped and quoted separately. Platform, usage and support arrangements are clarified in the proposal.

SymphonyQ uses the AI choices available through Notion. At the time of writing, 20 October 2026, Notion’s published Agent guidance names Claude Fable 5.1, Claude Sonnet 5, OpenAI’s GPT models, Gemini and Grok. Auto lets Notion choose a model for the task.

The choices shown depend on the Notion feature, your plan and the models enabled by your workspace administrator. Some choices use additional credits, and access to workspace information and connected apps can differ by model. We confirm the options, information access and costs for your implementation. The range changes over time; your model picker is the current list for your workspace.

Notion’s current Agent guide

Your shared business context and instructions are maintained in the workspace rather than only in one model’s chat history. That makes it easier to assess alternative models as your needs change. We test the workflow when changing models; connections and configuration still depend on the platform in use.

We compare existing subscriptions and add-ons with the platform, model usage, integration and support costs of the proposed approach. The aim is to remove unnecessary duplication while retaining the capabilities your people need.

Notion states that, by default, neither it nor its AI providers use Customer Data to train models. We check the terms and settings of any other connected services used in your implementation.

Notion’s AI security practices

Notion AI respects the permissions of the person using it. For configured agents and connections, we agree the information and actions each workflow needs, restrict access accordingly and test those boundaries before rollout.

Storage location and AI processing are different questions. We check the selected workspace region, model providers and connected services against your requirements before introducing sensitive information. A storage-region setting alone does not establish that every AI request is processed in that country.

Notion’s data residency guidance

Retention depends on the Notion plan and model. Notion says its default Enterprise model providers support zero data retention; some optional models retain data for a limited period and require owner opt-in. On Free, Plus and Business plans, providers may retain data for up to 30 days. We confirm the applicable settings and terms for the selected workflow.

We identify those requirements during discovery and agree what should remain outside the AI workflow. Options may include minimising data, masking identifiers, restricting sources and requiring human approval. Professional review remains with the responsible person. Any specialised design is scoped and tested before use.
